About Lesson

Allocating time for specific tasks is a fundamental aspect of effective time management. Developing the skill of estimating task duration takes practice and experience.

How to improve your ability to estimate how much time each task will take to complete:

  1. Break Tasks Into Smaller Steps: Complex tasks often consist of several smaller sub-tasks. Break them down into these smaller steps, and estimate the time required for each sub-task. Then, sum the times to get an overall estimate.

  2. Refer to Past Experience: Reflect on similar tasks you’ve completed in the past. How long did they take? Past experiences can provide valuable insights into estimating future tasks.

  3. Use the “Two-Times” Rule: When you have a rough estimate, consider doubling it. This accounts for unexpected delays, interruptions, and any potential complications that may arise.

  4. Consider Task Complexity: Evaluate the complexity of the task, the number of steps involved, and any specialized skills required.

  5. Factor in Interruptions: In a typical workday, interruptions are common. Consider how often you’re interrupted and how long it typically takes to regain focus after an interruption.

  6. Use Time Tracking: Track the time it takes to complete tasks over a period.

  7. Consult Others: If you’re uncertain about the time required for a specific task, seek input from colleagues or experts who have experience with similar tasks.

  8. Test and Adjust: Make your best estimate, and then track the actual time it takes to complete the task. Afterward, adjust your future estimates based on this real data.

  9. Consider Your Own Work Habits: Be aware of your own work habits.  Adjust your estimates accordingly.

  10. Use Tools: Some time management and task-tracking apps provide tools for estimating and tracking task duration. Consider using these tools to refine your estimation skills.

Remember that estimation is not an exact science, and there will always be some variability. Over time, with practice and reflection, you can become more accurate in estimating how much time each task will take to complete.
